Quoto ("we," "us," or "our") operates the website and application at tryquoto.com. Quoto is a software tool that helps licensed contractors review insurance estimates, identify discrepancies, and generate supplement request letters.

2. Information We Collect
Information you provide directly:
- Name, email address, and password when you create an account
- Company name, address, phone number, and license number from your profile
- Insurance estimate documents (PDFs or CSVs) you upload to the platform
- Claim details extracted from those documents, including insured names, property addresses, and claim numbers
- Payment information (processed and stored by Stripe — we never see your full card number)
- Messages you send through the in-app support system
Information collected automatically:
- Basic usage data (features used, pages visited, timestamps)
- Browser type and device information
- IP address
3. How We Use Your Information
We use the information we collect to:
- Provide the core service: extract line items from uploaded PDFs, compare estimates using AI, and generate dispute letters
- Process payments and manage your subscription
- Respond to support requests
- Send account-related emails (receipts, password resets, service notices)
- Monitor platform health, usage, and AI cost (aggregated, not sold)
- Improve the accuracy of our AI features over time
- Comply with legal obligations
We do not sell your personal information or use it for advertising.
4. Documents and Claim Data
When you upload insurance estimate PDFs, those files and the data extracted from them (line items, claim numbers, insured names, property addresses) are stored in your account and used solely to provide the comparison and dispute letter services you requested.
Important: The claim documents you upload may contain sensitive personal information about third parties (the insured). You are responsible for ensuring you have appropriate authorization to upload and process those documents through our platform.
5. Artificial Intelligence Processing
Quoto uses Claude, an AI service provided by Anthropic, PBC, to analyze your uploaded documents, compare line items, and generate dispute letters. When you use these features, relevant document content is transmitted to Anthropic's API for processing.
Anthropic's use of data submitted through API calls is governed by Anthropic's privacy policy. Anthropic does not use API inputs and outputs to train their models by default.
We do not share your documents with any other AI providers.
6. Third-Party Services
We work with a limited number of service providers to operate Quoto:

These providers only receive information necessary to perform their specific function. We do not sell your data to any of them.
7. Team Accounts
If you are invited to join a team or crew plan, the account owner can see the projects you create within that account. If you are a team owner, you can see projects created by members you've invited. Each user's personal profile information remains private.
7a. Sharing Projects via Link
Quoto lets you share a project with another person in two ways:
- Collaborate access: the recipient must sign in or create a Quoto account to view and interact with the project.
- View-only link: we generate a unique link that lets anyone who has it view the project — including extracted claim details (insured name, property address, claim number), the comparison results, and the uploaded estimate documents — without creating an account or signing in.
View-only links do not expire automatically. Anyone who obtains the link — including if it is forwarded, copied, or otherwise disclosed by you or the recipient — will be able to view the project's contents. You should only share view-only links with parties you intend to give that access to, and should treat the link itself as sensitive.
8. Data Retention
We retain your account data for as long as your account is active. If you delete your account, we will delete your personal information and uploaded documents within 30 days, except where we are required to retain records for legal or financial compliance purposes (for example, transaction records required for tax purposes are typically retained for 7 years).
You can request deletion of your account at any time by emailing us at support@tryquoto.com.
9. Your Rights
Depending on where you are located, you may have the right to:
- Access the personal information we hold about you
- Correct inaccurate information
- Delete your account and associated data
- Export your data in a portable format
- Withdraw consent for optional data processing

10. Security
We take reasonable technical and organizational measures to protect your information, including:
- Encrypted data transmission (HTTPS/TLS)
- Encrypted storage for uploaded files
- Row-level security on all database tables (users can only access their own data)
- Stripe handles all payment card data — we never store card numbers on our servers
No system is completely secure. If you believe your account has been compromised, contact us immediately.
11. Children's Privacy
Quoto is a professional business tool and is not directed at children under 13. We do not knowingly collect personal information from anyone under 13. If you believe a child has provided us personal information, please contact us and we will delete it promptly.
12. Changes to This Policy
We may update this policy as the product evolves. When we make material changes, we will update the "Last Updated" date at the top of this page. For significant changes, we may also notify you by email. Continued use of Quoto after changes take effect constitutes your acceptance of the updated policy.
